What to Look for in an Online Personal Trainer

There are more online personal trainers today than at any point in history. The barrier to entry has dropped to almost zero. A certification, an Instagram account, and a Calendly link is enough to start selling programs. That makes choosing the right coach harder, not easier.

This is the checklist I use to evaluate any online personal trainer, including every coach who applies to join the Xelik network.

1. They Have a Recognized Certification

This is the floor, not the ceiling. A certification from NASM, ISSA, ACE, NSCA, or an equivalent accredited body means a coach has studied exercise science, passed a proctored exam, and is held to a professional code of conduct.

An Instagram following is not a certification. A big physique is not a certification. Enthusiasm is not a certification. If a trainer cannot tell you their cert and the organization that issued it, move on.

Beyond the certification, look for continuing education. The field of exercise science evolves. Coaches who stopped learning the day they passed their exam are working with outdated methods.

2. Their Program Is Built for You, Not Repackaged for You

The most common shortcut in online coaching is the template. A coach builds one program, sells it to fifty clients, swaps the name at the top, and calls it personalized. The tell: if you get your program within hours of signing up, it was not built for you.

A real program takes time to build. It requires your intake data, your training history, your equipment, your injury limitations, and your schedule. If none of that was collected in detail before your program arrived, what arrived is a template.

Ask before you sign up: What does your intake process look like? What information do you need from me to build my program? How long does it take to deliver a program after intake? The answers will tell you everything.

3. They Have a Clear Check-In and Adjustment Process

Online coaching without a check-in system is just selling programs. The check-in is where the actual coaching happens. It is how your coach knows if the program is working, where you are struggling, and what needs to change.

A serious online trainer will have a defined check-in frequency (weekly is standard), a clear format for what they need from you (weight trend, photos, training notes, sleep, stress), and a commitment to responding with real feedback within a specific window.

If a trainer cannot tell you exactly how their check-in process works, they do not have one. That is a disqualifier.

4. They Adjust Based on Data, Not Just Time

The worst coaches run 12-week programs that never change regardless of what the client reports. The best coaches adjust constantly based on what the data says.

Body weight trending up faster than expected on a muscle building phase? Add a deload week. Strength numbers stalling for three weeks? Time to increase volume or change the stimulus. Not sleeping? That changes the training load recommendation immediately.

Ask any coach you are interviewing: How often do you adjust programming? What triggers an adjustment? If the answer is vague or implies they adjust on a fixed schedule regardless of individual data, you want a different coach.

5. They Communicate Clearly and Consistently

You will have questions. You will have bad weeks. You will need guidance on something that is not in the program. How a coach handles those moments is often more important than the program itself.

Red flags: coaches who take days to respond to basic questions, who answer with one sentence when the question deserved a paragraph, or who make you feel like a burden for reaching out.

Green flags: coaches who have a defined communication channel (not just DMs across four platforms), who set expectations for response time and honor them, and who proactively reach out when they notice something in your data.

6. Their Track Record Is Real and Verifiable

Any coach can cherry-pick before-and-after photos. Look for coaches who can point you to real clients with specific, verifiable results. Named testimonials with detailed outcomes are more credible than anonymous Instagram screenshots.

Ask: Can you connect me with a current or past client I can speak to? A coach with real results and real client relationships will not hesitate to answer yes.

Also look at how long they have been coaching. A coach with two years of experience and fifty real clients has more to show you than one with ten years of posting but few verifiable client outcomes.

7. They Are Honest About What Is Realistic

Coaches who promise 30 lbs of fat loss in 8 weeks, guaranteed six-pack abs, or dramatic body recomposition on a maintenance calorie plan are selling something that does not exist.

A good coach will tell you what is realistically achievable in your timeframe given your starting point. The results might be less dramatic than you hoped. That is honesty, not weakness.

The coaches who overpromise at the sale stage are the same ones who disappear when reality does not match the pitch. Choose coaches who are more excited about a sustainable 18-month transformation than a dramatic 6-week one.

8. They Specialize in Your Goal

Not every coach is equally good at every goal. A coach who specializes in powerlifting competition prep and a coach who specializes in fat loss for busy professionals are not interchangeable, even if both are certified.

Match the coach to the goal. If you want to lose 40 lbs sustainably, find a coach whose client roster is full of people who have lost 30-50 lbs and kept it off. If you want to compete in your first powerlifting meet, find a coach who programs for competitive strength athletes.
